JOB SUMMARY:

Provides comprehensive administrative and coordination support for managing project portfolios and implementing core program initiatives and projects within the Office of the Deputy Director for Programs.

RESPONSIBILITIES:

  1. Proposal Development Support: Assist in preparing and completing all necessary documentation for proposal development initiated by core programs or various departments/units. 
  2. Project Administration and Portfolio Management: Support project preparation, administration, and portfolio management using SEARCA's project management information systems. 
  3. Program Activity Coordination: Assist in coordinating core program-related activities, including consultant mobilization, progress monitoring, and output tracking. 
  4. Logistical Support: Provide logistical support for project site visits, learning events, workshops, conferences, seminars, and other related activities. 
  5. Compliance Monitoring: Monitor departmental/unit compliance with contractual obligations to partners and donors and adherence to Center policies. 
  6. Program Reporting: Assist the Directorate in fulfilling program-related reporting requirements. 
  7. Administrative Support: Perform other administrative tasks assigned by the Deputy Director for Programs.

QUALIFICATIONS:

Education 

Bachelor's Degree in the field of Economics, Agricultural Economics, Development Economics, Environmental Science, or related field.

Work Experience

Three (3) years of relevant work experience in project development and management, preferably in a similar role and function. 

 Required Skills:

  1. Project Management: Knowledge of project cycle management, including project monitoring and financial reporting.
  2. Technical Writing & Documentation:  Strong technical writing skills, particularly in report preparation and documentation.
  3. Communication & Interpersonal Skills: Excellent oral and written communication skills, able to present information clearly and persuasively, and to interact effectively with individuals. 
  4. Organizational & Coordination Skills: Strong organizational and coordination skills, including the ability to manage multiple tasks, prioritize effectively, and meet deadlines.
  5. Information Management: Proficiency in gathering, analyzing, and synthesizing information from diverse sources to support project activities. 
  6. Software Proficiency: Advanced skills in using Microsoft Office Suite (Word, PowerPoint, Excel, Access) for data management, reporting, and presentations.
