Job Summary

The Senior Program Associate provides technical, administrative, and operational support to the Research and Thought Leadership Department. Assists in research administration, project planning, financial monitoring, report preparation, and organization of knowledge events. Supports the production and dissemination of research outputs and ensures efficient coordination to enable high-quality research and policy work.

Key Responsibilities and Expected Deliverables

1. Program Development and Proposal Support 

  • Assist in identifying research opportunities and conducting literature reviews, data gathering, and situational analysis.
  • Prepare inputs for concept notes, project proposals, budgets, and financial projections for research and development initiatives.
  • Maintain databases of experts, partners, funding sources, and regional stakeholders.
  • Support coordination and communication with resource persons, consultants, and partner institutions.
  • Assist in organizing site visits and exploratory meetings with donors and collaborators.

2. Program Implementation and Monitoring 

  • Support end-to-end project coordination, including activity scheduling, deliverable tracking, and progress monitoring.
  • Prepare and submit required financial reports, liquidation documents, and administrative compliance papers.
  • Track fund utilization, prepare billing statements, and follow up on accounts receivable and budget variances.
  • Assist in managing consultant contracts, deliverables, and progress reporting.
  • Support quality assurance of research outputs, data verification, and documentation of processes.
  • Provide logistical and operational support for research activities, workshops, and stakeholder consultations.

3. Information and Research Dissemination

  • Assist in editing and formatting research reports, policy briefs, and publications.
  • Draft news articles, feature stories, and communication content.
  • Support the organization of seminars, conferences, and policy dialogues.
  • Maintain organized digital and physical records, project files, and research documentation.
  • Assist in managing content for knowledge platforms and ensuring timely information sharing.

 

MINIMUM REQUIREMENTS

Education

  • Bachelor’s Degree in Development Economics, Agricultural Economics, Management, Development Communication, Community Development, Accounting, or a related field. 
  • Master’s Degree in a relevant discipline is an advantage.

Work Experience

  • At least three (3) years of progressive experience in research administration, project coordination, program support, or a related role
  • Experience in proposal development, financial monitoring, and working with research or development‑oriented organizations is preferred

Skills

  • Basic understanding of research processes, project cycles, and financial management, including budgeting and reporting
  • Excellent written and verbal communication skills, with strong report writing and editing abilities
  • Strong organizational skills, attention to detail, and ability to manage multiple tasks under deadlines
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint), Google Workspace, and virtual collaboration tools (Zoom, Microsoft Teams)
  • Ability to work independently and collaboratively within a diverse team
